BoothTeam by SophiMind is an always-available digital booth team and marketing sparring partner trained as a tradeshow marketing veteran. BoothTeam helps you prepare the event, engage visitors, capture useful context, and move conversations toward the right next step.

Are BoothTeam staff human or digital support?

BoothTeam provides a full digital booth team, not human booth employees. SophiMind provides the human setup and coaching that helps you configure BoothTeam for your business, show, products, and event goals.

Is BoothTeam a chatbot or an AI-agent product?

BoothTeam is not a generic chatbot or passive lead scanner. It is a coordinated team of digital booth agents trained and guided for your specific event. The team can interact with visitors, understand signals, identify opportunities, share approved resources, and determine the right next step.

Is BoothTeam one bot or a team of digital agents?

BoothTeam is a collaborating team of digital agents. One agent engages and converses with the visitor while other agents analyze the conversation, identify needs and signals, apply your event guidance, and help determine the right next step. The visitor experiences one coordinated booth team rather than a collection of disconnected tools.

How is the BoothTeam team trained for our event?

During setup, you coach BoothTeam with your company information, products, event goals, visitor personas, approved answers, resources, priority criteria, and handoff rules. SophiMind helps turn that knowledge into a booth playbook the digital team can use throughout the event.

How does BoothTeam make our message relevant to each visitor?

BoothTeam learns your products, outcomes, visitor personas, and common pain points during setup. It uses that guidance to explain why your offering may matter to each visitor, ask relevant questions, share approved resources, and guide the conversation toward the right next step. BoothTeam can help develop clear examples and analogies where they make the value easier to understand, but it does not invent claims or make unapproved promises.

Does BoothTeam analyze every visitor interaction?

For every interaction that enters the BoothTeam experience, the digital team can analyze what the visitor asked, what problem they described, what they cared about, and what they should receive next. BoothTeam uses your approved guidance to recommend a resource, follow-up, or human handoff instead of treating every visitor like the same lead.

Does BoothTeam replace our booth staff?

No. BoothTeam works alongside the humans you send. Your team remains responsible for physical booth presence, demonstrations, relationships, commitments, and decisions that require human judgment.

What makes BoothTeam different from a lead scanner?

A lead scanner records that someone visited. BoothTeam helps create and guide the interaction. It can ask about needs, explain relevant solutions, share resources, identify priority visitors, notify the right human, and carry conversation context into follow-up.

We interview you about your company, event, products, audience, goals, and desired outcomes. Together, we define the event North Star, visitor personas, product priorities, anticipated questions, approved answers, resources, priority criteria, and human handoff rules.

How do we set up BoothTeam without starting from a blank page?

Choose the setup path that fits your team: a guided setup chat where you add emails, text, PDFs, URLs, product pages, and approved resources as you answer questions, or an answer-and-upload worksheet that your team completes and uploads. BoothTeam progressively turns that input into a reviewable booth playbook and shows what is complete, what needs approval, and what could block a safe launch.

How long does setup take?

Setup depends on your company, products, event goals, and approval process. BoothTeam is designed to avoid a long blank-page exercise: start with the guided questions or worksheet and add detail progressively. We do not promise a fixed setup duration because the right preparation depends on the event.

What must be ready before BoothTeam can go live?

At minimum, the exhibitor must provide approved company and event information, at least one approved visitor next step or resource, consent language for contact capture, a working QR, tablet, kiosk, screen, or direct URL entry path, and a response or follow-up owner. BoothTeam identifies missing items and can mark an event ready, ready with gaps, or not ready when a missing item could cause incorrect answers, failed handoffs, or lost records.

Can BoothTeam help us identify visitor personas?

Yes. BoothTeam can help identify the people most likely to visit your booth, such as executives, technical evaluators, operators, partners, or researchers. Those personas inform the pitches, questions, resources, and next steps prepared for the event.

Can BoothTeam generate anticipated questions from visitor personas?

Yes. BoothTeam can role-play approved visitor personas, ask the questions those visitors are likely to ask, surface information gaps, and turn the results into a persona-based FAQ and booth-team preparation guide.

Who defines a high-value visitor?

You do. During setup, you define the signals that matter for the event, such as role, company fit, stated problem, urgency, project timing, product interest, buying authority, or requested next step. BoothTeam applies those criteria consistently during the show.

Can we approve the answers and resources before the show?

Yes. The exhibitor remains the authority on company claims, product information, pricing, materials, approved resources, and actions BoothTeam may recommend. BoothTeam should not publish or distribute unapproved information.

What does the booth playbook include?

The booth playbook can include the event North Star, priority products, visitor personas, a 30 to 60 second pitch, product-to-problem mapping, anticipated questions, approved answers and resources, high-value visitor criteria, escalation rules, and follow-up actions.

Keep visitor conversations moving

How do visitors access BoothTeam?

Visitors can engage through a QR code, tablet, kiosk, or booth screen. If the booth only has printed collateral, a QR code can open an BoothTeam page for that exhibitor on the visitor's phone without requiring an app.

Does BoothTeam proactively engage visitors?

BoothTeam engages visitors when they scan, tap, or open the booth experience. It does not physically walk the show floor or interrupt people who have not started an interaction. Once started, BoothTeam guides the conversation by asking questions and recommending relevant next steps.

What should our booth CTA say to get visitors to engage?

Lead with the value the visitor gets, not with the fact that BoothTeam is digital or AI. BoothTeam can help create an event-specific CTA that offers an immediate answer, a relevant resource, a shortcut around a busy booth, or a useful question. The sign can say: Scan or tap. Tell us what you are trying to solve. Get a relevant resource or request a human jump-in. The exhibitor approves the final wording, claims, resources, pricing, and availability language before the show.

What happens when the booth team is busy?

Visitors still have a way to begin, ask questions, receive approved information, request resources, and leave useful context while your people remain focused on the conversation in front of them.

How many conversations can BoothTeam handle?

BoothTeam can support multiple conversations in parallel and remain available throughout the event. The practical volume depends on visitor traffic, participation, connectivity, device availability, and whether visitors choose to provide contact information.

What happens when BoothTeam does not know an answer?

BoothTeam will not invent an answer. It tells the visitor that the question needs confirmation, captures the question and context, shares an approved resource when one is available, notifies the exhibitor response team, and creates a follow-up action.

What happens if the internet, device, or BoothTeam experience fails?

BoothTeam should distinguish between records that are saved, pending, and delivered. When the visitor experience or CRM connection is unavailable, the system preserves safe captured information for retry or export when possible and never claims that a lead was delivered until delivery is confirmed. The exhibitor should also keep a practical booth fallback, such as a printed contact path, staffed response point, or direct follow-up method.

Can we shut down or change part of BoothTeam during the event?

Authorized event users should be able to pause the event, disable a resource or problematic answer, mark a responder unavailable, switch to a backup, or move the experience into follow-up-only mode. These actions should be logged, attributable, and reversible without deleting already captured records.

Can BoothTeam send resources to visitors?

Yes. BoothTeam can automatically send approved PDFs, product documents, case studies, technical resources, website links, scheduling links, and other materials based on the visitor's interests. It only sends resources approved for distribution.

How does BoothTeam identify a priority visitor?

BoothTeam uses the priority criteria defined by the exhibitor for that event. Those criteria may include company fit, role, urgency, project timing, buying authority, product interest, stated problem, or requested next step.

How does a high-value visitor reach a human?

BoothTeam can alert the designated response team, offer an immediate phone or live connection when configured, request that the visitor wait for a specific representative, or create a follow-up action when nobody is immediately available.

How will the exhibitor be notified?

BoothTeam can use one or more configured channels, including SMS, email, the exhibitor dashboard, or a phone call. The notification setup and escalation rules are agreed during event preparation.

How quickly must the exhibitor respond?

The response time depends on the exhibitor's staffing plan and escalation preferences. Our recommended default is to notify the primary responder immediately, notify a backup after 2 minutes without acknowledgement, and create a follow-up path after 5 minutes without acceptance. Exhibitors can configure different windows. BoothTeam will only tell the visitor what has actually happened: it can say a person was notified after the alert succeeds, but it will not say someone is coming until a responder accepts. The exhibitor is responsible for staffing the response team.

Can BoothTeam place phone calls?

Yes, if configured for the event. BoothTeam can initiate or request a phone connection with an exhibitor representative. If that representative is unavailable, BoothTeam captures the visitor's information and arranges follow-up instead.

Carry useful context into follow-up

What does “unlimited leads” mean?

There is no per-lead or per-conversation fee, and no contracted event cap on the conversations or leads BoothTeam engages with and tracks. Practical volume still depends on event traffic, visitor participation, connectivity, device availability, configured integration limits, and visitor consent. Unlimited does not mean unlimited human response capacity, CRM throughput, retention beyond the agreed policy, or guaranteed visitor participation.

What information is captured?

Depending on the visitor interaction and approved setup, BoothTeam can capture questions, interests, needs, requested information, resources shared, intended next step, priority, and contact details when the visitor chooses to provide them.

What CRM systems does BoothTeam support?

BoothTeam can support a CRM or lead system that provides a webhook or API endpoint, a defined payload format, and an API key or equivalent authentication method for creating or recording leads. Compatibility should be confirmed and tested before the event.

What happens when CRM synchronization fails?

BoothTeam preserves the conversation and lead data within SophiMind for up to 30 days after the event ends. Affected records should show pending, failed, retrying, or exported status. BoothTeam should retry temporary failures, avoid creating duplicate leads when a request times out, and provide an export fallback. The exhibitor should resolve or export affected records within the retention period while the CRM connection is repaired.

Does BoothTeam work with our existing booth team and lead system?

Yes. BoothTeam works alongside the humans you send to the show. Your team remains responsible for live conversations, demonstrations, technical or commercial decisions, human handoffs, and follow-up. BoothTeam adds coverage, shared guidance, visitor context, and support when the booth is busy. It can also work with an existing lead system that provides a webhook or API endpoint, a defined payload, and an API key or equivalent authentication. The integration is configured and tested before the event.

Is visitor consent required?

Yes. When a visitor provides an email address, phone number, or other contact information, BoothTeam tells the visitor that the information will be used to follow up about the conversation. The exhibitor approves the consent language and remains responsible for its legal and privacy requirements.

Who owns unresolved follow-up after the show?

The exhibitor owns follow-up by default. BoothTeam can preserve the requested next step, context, consent status, owner, and due date, but capturing a lead is not the same as completing follow-up. Revenue Room is a separate opt-in post-show service.

What happens to photos, badges, voice notes, and other media?

Media capture is optional and should be enabled only for a clear event purpose. Visitors and staff should be told what is captured and why, and any required consent should be collected. Photos, badge images, voice notes, and transcripts follow the event retention policy and should not automatically become shareable CRM fields. The exhibitor should confirm which media types are enabled, who can access them, how long they are retained, and how they can be exported or deleted.

Simple event-day pricing

What does the $499 price include?

BoothTeam costs $499 per show day, multiplied by the number of show days. The event rate includes the pre-event interview, booth plan, collaborating digital booth team, BoothTeam booth lead, white-glove SophiMind setup and coaching, visitor-persona preparation, anticipated questions, approved resources, unlimited conversations and leads, and conversation tracking. CRM recording is included when the integration is configured. The price does not include human booth employees, a dedicated live operator, guaranteed live monitoring or response times, custom software development, guaranteed meetings, pipeline, or revenue.

Do we pay per lead or conversation?

No. The price is per show day, not per lead or conversation. A one-day show is $499, a two-day show is $998, and a three-day show is $1,497.

What is Revenue Room?

Revenue Room is an optional post-event digital sales service. If you subscribe separately, its digital sales team can continue pursuing and maturing captured leads after the event. Revenue Room is not included in the $499 per show day BoothTeam price.

What exactly do we receive after the show?

You receive the event conversations and captured lead context available from BoothTeam, including visitor questions, stated needs, product interests, resources shared, priority signals, requested next steps, human handoff history, and follow-up actions. You can download the event data after the show and review it for follow-up or record it in your CRM when the integration is configured. The exact export fields and format are confirmed during setup.

Does BoothTeam guarantee more leads, meetings, or revenue?

No. BoothTeam provides planning, visitor engagement, conversation handling, tracking, escalation, and follow-up context. Results also depend on event traffic, visitor interest, the offer, exhibitor staffing, and post-show follow-through.

Is live support included during the show?

BoothTeam includes white-glove setup and coaching from SophiMind's human team. The $499 per show day price does not automatically include a dedicated live operator, continuous technical monitoring, or a guaranteed human response service level. The exhibitor remains responsible for monitoring configured response channels and staffing the people who handle escalations, technical questions, commercial decisions, and follow-up.

How do we know whether the event was successful?

Before the show, the exhibitor and BoothTeam agree on an event North Star and a small set of measures. These may include completed conversations, useful next steps, priority opportunities, handoff acknowledgement, follow-up ownership, CRM delivery, conversation quality, market feedback, or meeting requests. BoothTeam reports activity and signals; the exhibitor confirms whether those activities became real business outcomes.

What does the exhibitor need to do?

The exhibitor provides accurate company and product information, approves answers and resources, makes the visitor entry point available, staffs the human response team, handles demonstrations and commitments, and follows up on opportunities.

Is BoothTeam right for every trade show?

BoothTeam is a strong fit when an event has meaningful visitor traffic, complex or valuable conversations, a need for better team alignment, or a high cost of missed follow-up. A very small event with little traffic may not need the full service.
